Overview

Position: Full-time, 40 hours/week. Able to be flexible with the time; past times were 9:30 AM – 5:30 PM

Location: Primarily on-site, but remote is allowed (Union, NJ office)

Position Available: Immediately

Annual Salary Range: $45,500 – $50,000, plus benefits

Qualifications

  • Bachelor’s degree in marketing, communications/media, or related field
  • 3 years’ experience in the arts. Experience in dance or theater is desired
  • Accurate and strong writing abilities, excellent verbal and interpersonal communication skills
  • Must be able to multitask, be detailed and deadline oriented
  • Experience using MAC, Adobe Creative Suite, WordPress, and Microsoft Office 365
  • Basic photography and videography skills are a plus
  • Must be comfortable learning new software and working in a fast-paced environment
  • All employees of Carolyn Dorfman Dance must maintain up-to-date COVID-19 and variants vaccinations
  • Must have reliable transportation
  • Must be able to lift at least 20 lbs

Job Description

This position reports directly to the Executive Director (ED) and is responsible for managing all communications, database management and basic fundraising activities for the dance company to position the company, develop audience and build donor base.

Primary Responsibilities: Communications

  • Develop promotional materials for performances, educational residencies, and booking opportunities
  • Design and edit brochures, postcards, programs, and other literature
  • Work with PR consultants to prepare and disseminate press releases, articles, success stories to print, broadcast, internet journalists, community stakeholders and donors
  • Maintain clippings, commendation letters, and image archive
  • Maintain media library of music, video, and photos of the company and be able to create/edit and upload video footage/photos to DVD, internet, etc.
  • Evaluate results of communications with patrons, donors, vendors, funders

Digital Communications

  • Responsible for maintaining the website, which was recently re-designed
  • Develop electronic communications strategy to make the company’s web presence robust- including the website, social media, and e-marketing
  • Develop content for web and other e-communications delivering messages in a timely and compelling manner
  • Track and report on progress of e-communications and monitor key sites
  • Supervise part-time marketing assistants when hired

Direct Mail and Database Management

  • Organize/maintain the organization’s mailing lists (currently in Excel) and CRM database (in Bloomerang) for donors and patrons

Fundraising and Events Management

  • Assist in coordinating events, especially the gala, with the Executive Director, board, and volunteers
  • Provide on-site event coordination and budget reconciliation support
  • Design and manage direct mail fundraising campaigns
  • Prepare small grans and support grants administration with the Executive Director
  • Provide support to grants writer and development consultant when hired. Proof grants and collate support materials
  • Research new grants and funding opportunities, time permitting

Performances

  • Provide front of house support, including ticket coordination (sales when we’re not being presented), setting up information and merchandise tables at events, and selling merchandise when allowed
  • Assist the company manager and technical staff by picking up or dropping off production items (must be able to lift a minimum of 20 lbs)

Information Technology

  • Manage the organization’s Microsoft Office 365 and Google Suite accounts
  • Maintain a variety of devices- MAC, PC, and NAS server with remote access and Sharepoint backup
  • Troubleshoot network and computer issues
  • Manage email and website hosting

Board of Directors

  • Assist the Executive Director in communicating with the board, preparing for board meetings, setting up meetings, and completing action items relevant to staff administration

Volunteer and Intern Management

  • Assist in recruiting volunteers and interns
  • Supervise office intern(s) throughout the year, if hired
